Privacy Policy

The Right Fit Personal Training (“we”, “us”) runs personal training and group fitness studios in Epsom, Ponsonby, Takapuna and Remuera, Auckland. This policy explains what personal information we collect, why, and what your rights are under the Privacy Act 2020.

What we collect
Contact details. Your name, phone number, email address and preferred studio, when you fill in our enquiry form, call, email, message us, or sign up.
How you found us, if you choose to tell us.
Health and fitness information. To train you safely and build the right programme, we ask about your goals, training history, injuries, and any medical conditions relevant to exercise. We may also record measurements and progress over time. We treat this information with particular care. You can choose not to share something, but it may limit what we can safely do with you.
Bookings and attendance, through our booking system.
Payment information. Payments are processed by Ezidebit, our direct debit and payments provider. Your card or bank account details are collected and held by Ezidebit, not by us.
CCTV at our Ponsonby studio. Ponsonby has security cameras, which help keep the studio and our 24-hour access members safe. Footage is kept for a limited time, is only reviewed if there is an incident, and access to it is restricted.
Communications. Emails, texts and WhatsApp messages between us, and anything you send through our website forms.
Website information. Like most websites, ours uses cookies and basic analytics to understand how the site is used. You can control cookies through your browser settings.
For clients under 18
We train young people from age thirteen, with written parental or guardian consent before the first session. For under-18 clients we collect a parent or guardian’s contact details, and we discuss the young person’s health and training information with their parent or guardian.
Why we collect it
We use your information to respond to your enquiries; to train you safely and effectively; to manage bookings, payments and your account; to send you service messages such as booking confirmations and studio updates; with your knowledge, to send occasional marketing such as events and promotions; to improve what we do; and to meet our legal obligations.
Marketing, and opting out
We send occasional updates and promotions by email and WhatsApp. Every marketing email has an unsubscribe link, WhatsApp messages have a stop option, and you can opt out any time by replying or emailing admin@therightfit.co.nz. Opting out of marketing does not affect service messages like booking confirmations.
Who we share it with
We do not sell your personal information. Ever.
We share information only with the service providers who run our systems: our booking platform (Mindbody), our communications and enquiry system, our website host (Rocketspark), our email provider, and Ezidebit for payments. They can only use your information to provide their service to us.
Some of these providers store data outside New Zealand, including in Australia and the United States. Where that happens, we take reasonable steps to ensure your information has protections comparable to the Privacy Act.
We may also disclose information where the law requires it, or where necessary to prevent a serious threat to someone’s health or safety.
How we keep it safe
Your information is held in reputable systems with access limited to the staff who need it to do their job. We take reasonable steps to protect it from loss, misuse and unauthorised access.
How long we keep it
We keep your information while you are a client and for as long afterwards as we reasonably need it, including records we are required to keep for tax purposes (seven years) and records relating to any incident or injury. After that, we delete or de-identify it.
Your rights
Under the Privacy Act 2020 you can ask us for a copy of the personal information we hold about you, and ask us to correct anything that is wrong. Email admin@therightfit.co.nz and we will respond within 20 working days.
Complaints
If you think we have mishandled your information, tell us first and we will do our best to put it right. If you are not satisfied, you can complain to the Office of the Privacy Commissioner at privacy.org.nz or on 0800 803 909.
Changes to this policy
If we change this policy, we will post the updated version on this page with a new date.
